Manado-Di hadapan Komisioner dan Pejabat Teknis KPU Kabupaten/Kota se-Sulut, Ketua KPU Provinsi Sulawesi Utara, Kenly Poluan, membuka kegiatan sekaligus memberikan wejangan terkait pentingnya Masalah Kearsipan.
Pada Acara yang bertajuk Rapat Koordinasi (Rakor) dan Bimbingan Teknis Pengelolaan (Bimtek) Kearsipan pada KPU Provinsi dan KPU Kabupaten/Kota se-Sulawesi Utara, Jumat (21/6/2024) di Hotel Roger’s Manado, dalam sambutannya Poluan mengungkapkan satu pengalaman dimana pernah pihak KPU RI meminta dokumen Pemilu pada tahun 2014 silam, sampai pada waktu yang ditentukan dokumen yang diminta tidak kunjung ditemukan.
Nah, Belajar dari pengalaman tersebut, Poluan berujar harus ada rakor dan bimtek terkait pengelolaan arsip. Karena ini sama pentingnya dengan agenda lain dalam tahapan Pemilu/Pilkada. Karena Arsip adalah Ornamen penting untuk keberlangsungan Suatu Lembaga atau pun Organisasi.
“Ada keputusan KPU tahun 2024 tentang bagaimana kita melakukan proses digitalisasi kearsipan sehingga saat kita mau cari (dokumen), dengan sekali ketik dia bisa dapat,” terangnya.
Menurutnya rakor ini selain membahas teknis pengelolaan secara sistematis, terstruktur dan digital, juga sebagai konsolidasi kearsipan untuk jajaran KPU Provinsi dan Kabupaten/Kota di Sulut.
Dalam rakor ini Poluan mengingatkan akan pentingnya mendokumentasikan setiap kegiatan atau tahapan yang dilakukan. Baik untuk keperluan administrasi maupun sebagai dokumen untuk kepentingan kedepan.
“Termasuk pengambilan keputusan, setiap tahapan sampai puncaknya penetapan paslon terpilih. (Juga) dokumen terkait rutinitas aktifitas rapat pleno baik rutin dan khusus itu harusnya tersimpan dalam jangka waktu yg lama,” tuturnya.
Plt Sekretaris KPU Sulut, Meidy Malonda menambahkan pengelolaan kearsipan penting terkait penyampaian laporan secara berjenjang setiap kegiatan.
“Ketika kita diminta laporan, cepat kita lapor karna ada arsip yang kita buat,” imbuhnya.
Dia meminta semua peserta yang hadir menyimak baik-baik materi yang disampaikan dalam rakor dan bimtek ini.
Kegiatan ini menghadirkan narasumber Kabag Persuratan dan Tata Usaha Pimpinan KPU RI, Oky Spinola Idroos SH MH, yang menyampaikan materi tentang tertib pengelolaan arsip. (*)
